When you are the meeting host (star icon) you can create, duplicate, or switch the active scene for everyone in that session. All editors in the meeting can request to become the meeting host by pressing the star icon behind their name in the meeting panel. The microphone icon shows highlighted green if someone is speaking and shows a crossed-out icon if someone is muted. Clicking on someone's microphone icon as an editor in a meeting allows you to mute that user. This is handy when devices are causing echo.
Edit rights
Everyone with a valid Arkio Pro or Enterprise license will have edit rights in a meeting. This is indicated by the pencil icon in front of the username. When free users of Arkio join the meeting without an active Arkio license they will join as viewers instead indicated by the eye icon. Viewer can only talk and see all the latest scene changes that are controlled by the host and editors in a meeting. Their user interface is simplified and they can not make edits.
Temporary guest editors (Enterprise)
When the Host in a meeting has an Enterprise license they can temporarily convert free guest viewers to editors in a meeting by clicking the pencil icon behind their username. They can also convert these users back to viewers by clicking on the eye icon behind the username. This will free up the guest editor slot that comes with their license so they can assign it to someone else in that meeting.
Meeting management
The host of the meeting can use their wristband to better organize a meeting The wristband button to open the meeting panel shows if your meeting is active (green line highlight) and if your mic is inactive (mic icon with or without cross)
As the host of the meeting, you can gather all users around you from the wristband. Users that are colocated in other headsets will then align to their real-world position and all the remaining devices will gather around you following the default gather settings. You can also access this auto-gather toggle from the meeting settings panel so it can be used on any device for host-guided tours.
Colocation groups
Colocation groups can be managed by the host from Meta Quest hardware. The group outline shows which users are currently co-located. The host can manage this group using the edit mode and + and - icons behind the users. This will make the devices search the same spatial anchors on the other devices so they can align themselves and join the co-location group. You can learn more about colocated mixed reality in this article.
Managing scenes
When in a meeting some scenes in the Scene viewer are placed slightly to the back vs locally stored scenes. Only these scenes will be visible to other users in a meeting. The meeting host can switch between these meeting-shared models or make new models or duplicates of the existing model to explore alternatives.
Locally created models can also be shared with coworkers/clients by selecting the local model (yellow highlight) and pressing the share button. Models shared will become active in a meeting and are shared with all participants.
Every time you enter a meeting a duplicate is made of your existing local scenes to prevent losing your previous modeling work during an active meeting.
Models created in a meeting cannot be deleted until the meeting has ended. After this, the files you worked on with your team will automatically be converted to locally saved scenes that can be further edited, copied or deleted.
To work with complex collections of scenes we recommend sharing the scenes with a PC/Mac as you can more easily rename/backup and work with the Arkio saved files using a file browser.
